# Team Management

> Learn how to manage your team members in GC AI Organizations

## Add team members

Organization admins can invite teammates. Members cannot send invitations.

To add new members to your GC AI Organization, follow these steps:

1. Open [**Settings → People**](https://app.gc.ai/settings/people/requests) and select the **Invites & requests** tab, or select **Invite people** from any People tab.
2. Under **Invite by email**, enter one or more email addresses. Press Enter or a comma after each address, or paste a list.
3. Choose the **Access**, **Roles**, and **Groups** for this invitation.
4. Select **Send invites**.

GC AI removes duplicate addresses automatically before sending.

When invited people accept, GC AI applies the access and roles you chose and adds them to the selected groups, so you do not need to sort new members into groups one at a time. You can create a new role or group from the **Roles** and **Groups** menus without leaving the invitation. If the choices would leave someone with no permissions, the invitation shows a warning before you send it.

The same options are available under **Automatic member access** for people who join through an invite link, SSO, or SCIM provisioning. Organizations with SSO or SCIM find it in **Settings → People → Settings**.

## Manage your team

If you are an administrator in your GC AI Organization, you can:

* View all organization members, with each member's access, groups, and roles in one table
* Filter members by access, role, group, or join date, including members whose roles grant no permissions
* Select several members and change their access, roles, or groups at once
* Manage member permissions, such as designating other admins
* Remove members from the organization from the actions menu on their row
* Export the member list in CSV or XLSX format

* Control organization-wide settings

## Manage user groups

User groups organize people by practice area, division, region, or team. After you create a group, you can [share resources with everyone in it](/docs/organizations/sharing).

### Create a user group

1. Open [**Settings → People**](https://app.gc.ai/settings/people/groups).
2. Select the **Groups** tab.
3. Select **Create group**.
4. Enter a unique name and an optional description.
5. Select **Create**.
6. Open the group and use **Search to add a member** to build the roster.

When a non-admin creates a group, they become its owner. Organization admins can manage every group without joining it.

### Group roles

| Role | Permissions |
| - | - |
| **Member** | Receives access granted to the group. |
| **Manager** | Has member permissions and can add or remove members. |
| **Owner** | Has manager permissions and can edit group details, manage owners, and delete the group. |

If you are not an organization admin, you must promote another member before removing or demoting a group's last owner. Organization admins can leave a group without an owner and perform any group action without joining it.

Group roles manage the group itself. [Product roles](/docs/organizations/permissions#product-roles) assigned to a group grant product permissions to its members.

### Group details and limits

* Group names must be unique within the organization.
* A person can belong to multiple groups.
* Groups cannot contain other groups.

## Review join requests

If your organization allows join requests, admins can review them from **Settings → People**:

1. Open the **Invites & requests** tab. The tab shows a count when requests are waiting.
2. Review the requester details.
3. Approve or reject the request.

GC AI sends a confirmation email to the requester after the decision.

## Manage member access

Organization admins manage access from [**Settings → People**](https://app.gc.ai/settings/people).

### Access types

The **Access** column shows each member's current access:

* **Legal seat**: Uses a paid seat and can activate any permission granted by the member's roles.
* **Legal seat · External organization**: The member has a Legal seat through another organization.
* **Trial access**: Can activate any assigned permission while the trial remains active.
* **Stakeholder**: Uses a Stakeholder seat, with limited, organization-specific permissions, without consuming a Legal seat.
* **View only**: Keeps limited read access where permitted.

### Change a member's access

1. Open [**Settings → People**](https://app.gc.ai/settings/people).
2. Find the person on the **Members** tab.
3. Select their badge in the **Access** column.
4. Choose **Assign Legal seat** or **Convert to Stakeholder**. To remove access, choose **Remove Legal seat** or **Remove Stakeholder**.

The menu shows only actions available for that member, and each action says what happens, such as whether removing Stakeholder resumes their trial or makes them View only. If this is the member's only organization, assigning a Stakeholder seat to one of your Legal seat holders releases the Legal seat for another member. GC AI keeps the Legal seat assigned when the member belongs to multiple organizations. The Stakeholder seat still limits them inside your organization without changing their access elsewhere.

### Legal seats and billing

The seat summary shows how many Legal seats are used, reserved for pending invitations, and available.

Removing a Legal seat from a member makes it available for someone else. On team plans, this does not change your subscription or issue a refund.

### Cancel an individual subscription

To cancel an individual subscription, go to [Account settings](https://app.gc.ai/settings/account).

### Manage your subscription

To update billing details for an individual or team plan, use the [billing portal](https://billing.gc.ai/p/login/dR603Zbfl3kWbaU7ss). Sign in with the billing email for the subscription, which is the email of whoever set it up.

### Request more Legal seats

If you've used all available seats and need to add more team members with full access, contact the sales team at [sales@gc.ai](mailto:sales@gc.ai) to discuss expanding your subscription.

## Best practices

For effective team management in GC AI, consider these practices:

* Regularly review your team members' access and seat assignments
* Reserve Legal seats for people who need broad product access
* Use Stakeholder seats for people who need selected Contract Intelligence content and restricted Vault chat
* Assign product roles based on what each member needs to see and do
* Use groups to manage the same roles and resource access for several members
* Document your team management procedures
* Monitor seat usage to ensure you have capacity for new team members
